Once you’ve sent over your drawings, plans, and any project-specific details, our team will review everything carefully to understand the scope and any potential challenges. If we need anything else, we’ll come back to you with clear, simple questions to make sure nothing is missed. From there, we’ll provide further guidance on the best way forward and prepare a tailored fee proposal that reflects your project requirements.
Once we’ve reviewed your information, we’ll put together a competitive fee proposal that reflects the complexity of the scope, the size of the design or project information pack, and the level of support required. We’ll clearly outline what’s included, any assumptions we’ve made, and the expected timeframes, so you know exactly what to expect. If there are different options available, we can talk you through them to make sure the approach and budget feel right for your project.
If you’re happy to proceed, you can approve the fee proposal in the way that suits you best. Use our digital e-sign function, sign manually, or simply confirm by email that you’d like us to move forward. As soon as we receive your approval, we’ll provisionally schedule your project in for completion and confirm the key dates, so everything is in place to start smoothly and keep things moving.
Once the fee proposal has been signed, or we’ve been directed to proceed, we’ll issue an invoice and kindly ask that payment is made promptly, prior to commencement. This allows us to confirm your project completion date and keep everything on track. Timely payment helps us allocate the necessary resources from the outset and avoids any delays in delivering the service to the agreed programme.
Before we commence, we’ll carry out a final review of the project to make sure we have all the relevant documentation needed to deliver your report accurately. This includes checking drawings, specifications, and any supporting information, as well as confirming cost data where applicable (we’ll request this via a separate email if required). It’s a simple but important final check to ensure we’re fully aligned with your brief and ready to produce a cost report that matches your requirements exactly.
Once everything is in place, we’ll commence the project and work to meet the agreed deadline. Wherever possible, we aim to complete at least 24 hours ahead of the deadline to allow time for a final review and any minor refinements. If we need to clarify anything along the way, we’ll touch base during this phase to request further information, ensuring the final output is accurate, complete, and aligned with your brief.
After we send your detailed cost report, please take time to review it and, if you have any queries around the scope, quantities, rates, assumptions, or anything else, get in touch to schedule a debrief. We can run through everything together via video call or phone call, answer your questions, and agree any amendments required. Minor amendments, including up to 30 minutes of our time, are included within the fee; however, if substantial changes are requested, we reserve the right to seek reimbursement for additional time and work.
